Biopharma Virtual All Employee Meeting 2020

Challenge

A new CEO took over at small bio-pharmaceutical company based near Boston. He wanted to host his first all employee meeting with a focus on his vision for how to grow the company and to emphasize that the current team has the answers for the challenge. Since the meeting had to be held virtually, all presenters had to work from home. But the CEO’s vision was for every presentation to be team-driven. That meant training and rehearsals for multiple 5-8 person panel presentations bookended by guest speakers. And for fun, a virtual magic show customized for Zoom ended the day; all employees were encouraged to invite their families and spend a few minutes meeting their work mates’ families right before the show.

Solution

Our pharma experienced team designed a broadcast quality system that captured presenters at home. But first we scheduled individual videoconference meetings with every presenter to optimize their home presentation environments and teach them how to use graphics and how to interact with their fellow presenters. We set up virtual “Green Rooms” so each presentation team could interact together before going live and for each team leader to review any last second updates. 

Judicious use of TF talents in key areas ensured flawless execution of all executive presentations.

By integrating our platform in to their enterprise collaborative software in consultation with their IT department the event was “single click” in their office calendars, complete with live Q&A.
